What are Tasks

Tasks in xTiles are trackable to-do items you create inside tiles. Add a due date, time and reminders; assign them to teammates and mark them done — all without leaving your workspace. Ideal for managing work deadlines, study schedules, personal goals, or anything else you want to track and complete.

How to Create Tasks

You can create tasks anywhere in xTiles, inside any existing tile. Three main ways of creating your tasks include:

  1. Using “+” to see all options and choose task from them

  2. Typing “/” and type task, then choose it from options

  3. Using a shortcut ()+ Enter

Press Enter at the end of a task to create a new one directly below it.

Where Tasks Live

Tasks are created inside tiles, which means they naturally sit alongside your notes, links, and other content on your pages — keeping everything related to a piece of work in one place.

Once created, your tasks show up across xTiles depending on how you want to view them:

  • My Planner is your personal hub for tracking tasks across all workspaces and projects in one place. View them by day or week to stay on top of your schedule.

  • Task List is a sidebar accessible from anywhere in xTiles that gives you an instant overview of what needs to be done today and what's coming up next. Tasks with no due date, prioritized tasks, and assigned tasks are also organized in dedicated sections for easy access.

  • Task Collection is a page that gathers all your tasks and allows you to manage them like a database - view properties, create tags, group and sort your tasks.

  • Task Calendar displays all tasks with a due date on a calendar, organized by day. Switch between weekly and monthly views, and see your tasks alongside events from your Google or Outlook Calendar.

The idea is simple: create tasks wherever your work lives and xTiles automatically surfaces them in My Planner, Task Panel, and Task Collection. No separate to-do list needed. Everything stays connected and visible across different views, however you choose to organize them.

What Tasks Support

Beyond checking things off, tasks in xTiles support:

  • Due dates and times — schedule exactly when something needs to be done

  • Reminders — get notified before a deadline hits

  • Assignees — delegate to teammates or claim ownership yourself

  • Priority levels — flag what matters most with Low, Medium, or High priority

  • Recurring schedules — set tasks to repeat daily, weekly, monthly, or on a custom interval.

Tasks FAQ

Can I convert existing content into a task?

Yes — any content block in xTiles (text, colored banner, list, and more) can be converted into a task without retyping anything.

  1. Click the block menu (six-dot icon) to the left from your content.

  2. Select Turn into → Task

To convert multiple blocks at once, select them all first, then follow the same steps.

Create tasks from Emails, Slack messages or other content

Yes — the xTiles Web Clipper lets you save anything you come across online and turn it into a task directly in xTiles. Set a due date, add context, and choose exactly where in your workspace it lands.
