Assigning Tasks

When working on a shared project, assigning tasks makes ownership explicit — everyone knows what they're responsible for, progress is visible, and nothing gets lost in unclear handoffs. Assigned tasks are easy to track across your workspace, whether you're delegating to a team or managing your own workload.

How to Assign a Task

Make sure your teammates are invited to the project or space before assigning tasks. Once they’re added, follow these steps:

  1. Hover over the task block and click the assign icon.

  2. Select a team member from the list.

  3. Click outside the window to save your changes.

You can also self-assign a task to mark it as your own.

Assigning in Shared vs Personal Projects

How assignees work depends on where the task is created:

  • Shared projects — tasks are created without an assignee by default. You choose who owns it.

  • Personal projects — tasks are automatically self-assigned since you're the only one working in that space.

Assign to Multiple People

By default, each task has one assignee — keeping ownership clear and accountability simple. When a task genuinely requires more than one person, enable the Multi-assignee toggle in the assignee panel to add multiple teammates.

Accepting or Declining a Task

When someone assigns a task to you, you'll receive a notification in xTiles. From there you can accept or decline it — keeping everyone on the same page without back-and-forth messages.

Where to View Assigned Tasks

Assigned tasks are visible across several views depending on what you need:

Task List - open the Assigned section for a quick overview of all tasks assigned to or by you across your entire workspace.

Task Collection — for a more detailed view within a specific project. Filter tasks by assignee, or switch to the Board by Assignee view to see everyone's workload as a Kanban board — useful for managing delegation and spotting bottlenecks at a glance.
